The Process Control and Query Specialist will be responsible for managing one or more of the following Purchase-to-Pay (PTP) process areas:
- Process control
- Query management
- Support of Travel & Expense (T&E) processes within the team
This role will focus on at least one of the areas above, depending on team requirements and expertise. The incumbent will also contribute to the development of the department’s strategy and annual plan, leveraging their knowledge of PTP processes and operations. This includes supporting key initiatives such as “No PO, No Pay,” touchless invoicing, vendor reduction, and maintaining a clean desk approach.
What we ask
- Bachelor’s or Master’s degree in Finance, Accounting, or a related discipline
- Experience working with ERP systems, preferably SAP
- Exposure to process automation and continuous improvement initiatives
- Experience in an international organization and/or Shared Services (GBS) environment
- Experience working across multiple countries is an advantage
- Strong communication skills in English (mandatory) and Vietnamese (mandatory)
- High level of autonomy with a strong sense of ownership
- Proven team player with a collaborative mindset
- Adaptable to a dynamic and evolving GBS environment
- Continuous improvement mindset with the ability to drive change
- Basic project management capabilities
- Strong prioritization and time management skills

Scope of Responsibilities
- Coordinate daily operations across process control, query management, and T&E activities to ensure KPIs, productivity, and continuous improvement targets are met
- Manage and resolve queries from vendors, employees, and business partners with professionalism and accuracy
- Perform first-level query resolution and escalate complex issues when required
- Monitor open items and follow up to ensure timely closure
- Execute Procure-to-Pay (PTP) activities, including invoice processing, claims, returns, master data maintenance, and balance notifications
- Manage GR/IR, AP subledger, and GL accounts, including reconciliations and discrepancy resolution
- Support month-end closing activities and ensure full compliance with internal control frameworks (ICF)
- Process T&E claims, advances, and credit card transactions in line with company policies and regulatory standards
- Perform account reconciliations and ensure timely clearance of aged balances
- Provide first-level support for T&E-related inquiries
- Prepare and deliver regular and ad hoc reports with actionable insights for stakeholders
- Maintain accurate documentation, ensure proper archiving, and support audit readiness
- Identify inefficiencies and proactively drive process improvement and automation initiatives
- Support process standardization, transitions, and migration activities
- Contribute to the development of policies, training materials, and performance metrics
- Collaborate effectively with internal stakeholders and external partners
